SMS Setup Guide for DigifyCRM
Setting up SMS notifications in DigifyCRM is a valuable feature for ensuring timely communication with your clients, leads, and staff. SMS can be used for appointment reminders, lead updates, task notifications, and more.
Follow the steps below to set up and configure SMS in DigifyCRM.
1. Choose an SMS Provider
Before configuring SMS in DigifyCRM, you need to choose an SMS provider. DigifyCRM supports several popular providers like:
- Ombrex
- Twilio
- Nexmo (Vonage)
- Clickatell
- Bandwidth
- Any custom SMS provider
- Each provider will have a different process for obtaining API credentials. Once you've selected a provider, create an account, and gather the following details:
- API Key
- API Secret
- Sender ID (or number)
2. Configure SMS Settings in DigifyCRM
Once you have the necessary details from your SMS provider, you can configure the SMS settings in DigifyCRM.
Steps to Configure SMS:
- Navigate to SMS Settings:
- Go to Settings > SMS > SMS Settings.
- In the SMS Gateway section, select your preferred provider from the dropdown (e.g., Twilio, Nexmo).
- Enter the API credentials you obtained from your provider.
- Enter the Sender ID or phone number that will be used to send SMS messages. This could be a short code or a virtual number provided by the SMS provider.
- Check the box to enable SMS for notifications like appointment reminders, lead updates, or general notifications.
- Click Save to apply the settings.
3. Set Up SMS Templates
Once the SMS gateway is configured, you’ll need to set up SMS templates for various types of notifications (appointments, tasks, leads, etc.).
Steps to Create or Edit SMS Templates:
- Navigate to SMS Templates:
- Go to Settings > SMS Templates.
- You will see default templates for different events like:
- Appointment Reminder
- Appointment Approved/Cancelled
- Lead Notification
- Invoice Due Reminder
- Click on the template you want to edit.
- Use the TinyMCE editor to customize the SMS content.
- Include merge fields like {customer_name}, {appointment_date}, or {lead_name} to personalize the message.
- For example: "Hello {customer_name}, your appointment is scheduled for {appointment_date}. Please reply to confirm."
- Once you've customized the message, click Save to apply the changes.
4. Test the SMS Configuration
After setting up the SMS provider and templates, it’s a good idea to test the SMS system.
Steps to Test SMS:
- Send a Test SMS:
- Go to Settings > SMS Settings.
- Click the Test SMS button.
- Enter a test phone number and click Send.
- Ensure the test SMS is delivered to the phone number you entered.
If the message is successfully received, your SMS setup is complete and ready to use.
5. Use SMS Notifications in Modules
You can enable SMS notifications for various modules such as Appointments, Leads, Invoices, and more.
Enabling SMS Notifications for Appointments:
- Go to Appointly > Settings > SMS Notifications.
- Enable SMS for reminders, confirmations, and cancellations.
- Customize the timing of SMS reminders (e.g., send 1 hour before the appointment).
Enabling SMS Notifications for Leads:
- Go to Leads > Settings > SMS Notifications.
- Enable SMS notifications for new leads or lead status updates.
- Customize the SMS content as needed.
Enabling SMS Notifications for Invoices:
- Go to Invoices > Settings > SMS Notifications.
Enable SMS notifications for invoice due reminders, payments, or overdue alerts.
